Please follow the steps for Google Workspace mail users with Microsoft Outlook.
Step 1:
Enable IMAP in Google Workspace.
Sign in to your Google Workspace account: Go to Gmail and sign in with your Google Workspace credentials.
Open Settings: Click the gear icon in the top right corner and select "See all settings."
Enable IMAP:
Go to the "Forwarding and POP/IMAP" tab.
In the "IMAP Access" section, select "Enable IMAP."
Click "Save Changes" at the bottom of the page.
Step 2 :
Configure App Passwords (if you have 2-Step Verification enabled)
Generate an App Password:
Go to your Google Account settings.
Select "Security" from the left-hand menu.
Under "Signing in to Google," select "App passwords."
You might need to sign in again.
Select "Mail" and "Windows Computer" from the dropdown menus and click "Generate."
Note the 16-character app password provided.
Step 3:
Add Google Workspace Account to Outlook
Open Outlook: Launch Microsoft Outlook on your computer.
Add New Account:
Go to File > Account Settings > Account Settings.
Under the Email tab, click "New."
Auto Account Setup:
Enter your name, Google Workspace email address, and password (use the app password if 2-Step Verification is enabled).
Click "Next" and Outlook will attempt to configure your account automatically.
Manual Setup (if auto setup fails):
Select "Manual setup or additional server types" and click "Next."
Select "POP or IMAP" and click "Next."
Fill out the information:
Your Name: Your name
Email Address: Your Google Workspace email address
Account Type: IMAP
Incoming mail server: imap.gmail.com
Outgoing mail server (SMTP): smtp.gmail.com
User Name: Your Google Workspace email address
Password: Your password (app password if 2-Step Verification is enabled)
Click "More Settings."
Go to the "Outgoing Server" tab and check "My outgoing server (SMTP) requires authentication."
Go to the "Advanced" tab and enter the following:
Incoming server (IMAP): 993, use SSL.
Outgoing server (SMTP): 465 or 587, use SSL or TLS.
